Compensation:  $18 - $23 hourly

Overview: Nexus HR is seeking a reliable and professional Front Office Coordinator for an immunology clinic in Colorado. This individual will serve as the first point of contact for patients and play a vital role in ensuring a smooth and efficient front-desk operation. The ideal candidate is detail-oriented, adaptable, and committed to providing outstanding customer service in a fast-paced medical environment.

About the Job

As a Front Office team member, you will manage key administrative functions including patient check-in/check-out, appointment scheduling, insurance verification, and payment collection. You’ll be responsible for maintaining accurate patient records, handling incoming calls and messages, and coordinating closely with clinical staff to support seamless patient care. This role requires strong communication, organizational skills, and a patient-centered mindset.

Duties and Responsibilities:

  • Greet patients professionally and assist with check-in and registration.

  • Verify insurance eligibility and update records promptly.

  • Collect payments (copays, balances) and process accurately.

  • Answer calls professionally; direct unresolved inquiries to appropriate staff.

  • Schedule appointments, manage cancellations, and address voicemails daily.

  • Register new patients, complete referrals, and request medical records.

  • Ensure all patients have follow-ups and reduce no-shows through recall outreach.

  • Process incoming/outgoing faxes and medical record requests.

  • Complete opening and closing duties per clinic protocol.

  • Perform daily close procedures and provide basic billing support.

  • Support other departments and assist with front desk or triage needs.

  • Attend trainings and team meetings to stay aligned with clinic updates.

Qualifications:

  • Punctual and flexible with scheduling, including occasional Saturdays.

  • Reliable transportation for cross-location coverage (compensated when applicable).

  • Strong EMR, organizational, and multitasking skills.

  • Excellent verbal and written communication; able to de-escalate situations.

  • Team-oriented, adaptable, and thrives in a fast-paced environment.

  • Demonstrates professional customer service and attention to detail.
